Migrating client data from another program: JPK, CSV and XLSX
Accounting and finance. Content verified: 12 October 2026.
The migration wizard (Account menu, "Data migration") moves a company's data from its previous accounting program. It works on one company at a time, so the firm migrates clients one by one, after switching to their organisation.
What you can import
- Counterparties and goods or services (deduplicated by NIP, name, SKU and EAN).
- Chart of accounts with mapping of accounts from the old program to accounts in Zaksio, including analytical accounts rolled up to synthetic ones.
- Opening balance (account balances): only when the Debit and Credit totals match.
- Ledger entries from the previous period: each entry separately, only if balanced and in an open period.
- Opening warehouse stock levels, unsettled invoices (receivables and payables) and employees.
- VAT history from JPK_V7: totals from returns and the surplus to carry forward.
JPK files: the most reliable route
JPK has a public format defined by the Ministry of Finance, so most programs can generate it. The wizard recognises JPK_KR_PD (chart of accounts, balances, journal), JPK_FA (counterparties and unsettled invoices), JPK_MAG (goods and stock levels) and JPK_V7M and JPK_V7K (counterparties and VAT history).
Other programs: CSV and XLSX with mapping
Files from wFirma, Optima, Symfonia, enova365, ifirma, Fakturownia, Subiekt and Rewizor do not have a single public specification that could be read directly. That is why you import an export to CSV or Excel (XLSX), and the wizard proposes a column match by their names. You correct the match manually and save it as a profile, so the next client from the same program is migrated with one click.
Wizard steps
- Choose the source program and upload a file (up to 10 MB and 20,000 rows). The wizard will recognise the structure.
- Choose the type of data and check the column mapping. For the opening balance and stock levels, enter the opening date.
- Review the preview: new rows, duplicates, skipped and invalid rows with the reason. Nothing has been saved yet.
- Run the import in the background. You will see a progress bar and a report with warnings.
Safety and rollback
- The same file cannot be imported twice for the same type of data.
- A JPK file with a NIP different from the company's NIP is blocked, so that you do not upload data to the wrong client.
- PESEL numbers are encrypted and do not appear in the preview, the report or the audit log.
- Every import is a batch. You can roll it back if nothing has been built on it; ledger entries are reversed with a reversing entry, because the ledger is immutable.
