How it works
Four steps: data, proposals, approval, review
Zaksio doesn't wait for questions. It receives documents and prepares postings, returns and payroll runs, and in the morning you approve only what needs your decision.
Step 1
You connect your data
You start with the data you already have: invoices from KSeF, bank statements and PDF documents. Nothing needs to be retyped.
- MF test environment
Purchase invoices from KSeF
You save your KSeF token, and the team downloads purchase invoices (FA(3)) and prepares their account assignment for approval.
Bank statements
You upload an MT940 or CSV file. The system detects duplicates and matches payments and expenses to invoices.
Scans and invoices from email
PDFs and photos go to the archive, and the invoice reading (AI-assisted) waits for your approval.
XML invoices and counterparties
Import of FA(3) files and counterparty lookup by NIP in the VAT taxpayer register.
Shops, marketplaces and couriers
You connect Allegro, Amazon, WooCommerce, Shopify and other channels, as well as InPost, DHL, GLS and UPS, with your own keys, and orders go into a single flow.
CSV file import
Counterparties, products, orders and listings from a file, with an error preview before approval.
Step 2
The AI team proposes
The agents prepare ready-made proposals based on rules and your earlier decisions. Amounts are calculated by deterministic code, not by the language model.
Account assignment for purchase invoices
The expense account and VAT deduction are proposed by rules; the system learns supplier rules from your approvals.
Payment matching
Transfers from the statement are matched to invoices by number, amount, NIP and counterparty name.
VAT and JPK_V7
A draft return prepared after the period ends, ready to review and download as an XML file.
Payroll runs and fixed assets
Kasia prepares the payroll run, and Anna proposes the depreciation calculation.
Sales and receivables
Marek proposes issuing recurring invoices and payment reminders.
Step 3
You approve
Everything goes to a single approvals inbox with a rationale. You approve, reject or leave it for later.
- By default every action requires approval, and you set autonomy separately for each type of action
- Automatic mode is only possible for reversible actions and up to a confidence threshold
- Payroll runs, KSeF submission, JPK and debt collection are never carried out without a human
- Advisory recommendations go to an expert first and must come with evidence
Step 4
Control and audit
Every change leaves a trail, and the ledger does not allow entries to be edited.
Append-only ledger
Entries are never edited or deleted; corrections are made only by reversal. The Dr = Cr balance is enforced in the database.
Audit log
Who did what and when, including actions by AI agents.
Accounting periods
Month-end closing locks changes; reopening leaves a trace and is reserved for the Owner.
Morning briefing
The CEO gathers in one view and in an email everything that needs your attention: deadlines, alerts and decisions.
Principles
What we stand by
- AI does not calculate amounts: VAT, contributions, taxes and depreciation are calculated by tested code
- The content of invoices, emails and files is data, not instructions for the agent
- The final decision and responsibility for an approved entry remain with you
