How it works
If Zaksio can work something out on its own, it does so and shows the result for approval. Nothing is posted without a trace: you can see the input, the reasoning and the person who approved it.
Zaksio receives purchase invoices (FA(3)), recognises the counterparty and line items, and checks the account against the VAT white list.
Rules propose the account and the VAT deduction, and the system learns from your approvals. The proposal waits in the queue.
The bank statement (MT940, CSV) is matched to invoices. Only exceptions come back to you.
A JPK_V7M or V7K draft validated against the official XSD schema awaits your approval before the deadline.
The payroll engine calculates payroll, and Kasia prepares it for approval and posting.
Security and GDPR
A company's finance and HR data deserve the highest level of care. Below are the specific safeguards that work in Zaksio. They are the same in all plans, including the free one.
Every table holding company data has row-level security enabled in PostgreSQL. The company context is set within the transaction, and isolation tests attempt to read and write other companies' data.
Employees' PESEL numbers, two-factor authentication secrets and KSeF tokens are encrypted with the AES-256-GCM algorithm. PESEL is additionally masked in the interface.
Connections protected by HTTPS with HSTS, a CSP policy, security headers, and httpOnly, Secure and SameSite=Strict session cookies. Short-lived tokens with refresh token rotation.
Passwords are hashed with the argon2id algorithm and must be at least 12 characters long (common passwords are rejected). TOTP two-factor authentication with one-time codes and lockout after failed attempts.
Roles and separate permissions for HR data: revealing a PESEL requires permission and is recorded in the log. Invitations with protection of the last account owner.
Data changes and AI team actions leave a trail: who, what and when. The general ledger is append-only (corrections only through a correcting entry), and the balance is enforced in the database.
The AI team prepares, you approve: by default no action posts or sends anything without your consent, and each has a justification and a trail. The content of invoices and messages is treated as data, not as instructions.
The administration panel runs on a separate domain with mandatory 2FA, additional confirmation of sensitive actions, a short session and an activity log. Access can be revoked immediately.
Database backups are encrypted, and an automatic restore test checks that a backup can be restored.
Every change passes automated tests, and images are scanned for vulnerabilities. Deployment makes a backup before migration, checks the health of the application and rolls back automatically when something fails.
Public endpoints have request limits, and forms have bot protection. The infrastructure runs in containers without administrator privileges.
We store data on OVHcloud servers in Gravelines, France (EU). Zaksio acts as a processor of your data and offers a data processing agreement (DPA).

The AI team is the core of Zaksio, not an add-on. Four agents work on one approval queue: they propose and you decide.

Manages multiple warehouses and PZ, WZ, MM, RW, PW and INW documents, and for PZ and WZ monitors stock valuation and cost of goods sold.

Chief HR Officer
Maintains the employee records, absences and sick leave, and prepares monthly payroll runs for approval and posting. Also prepares ZUS and PIT files for download.

Every action goes to the approval queue. You set autonomy (suggestion, draft, automatic up to a limit) separately for each type of action, and the most cautious setting is the default.
VAT, contributions, taxes and rounding are calculated by deterministic, tested code with a legal basis. The language model classifies and proposes, but never comes up with an amount "off the top of its head".
Advisory recommendations must be backed by evidence in the company's data or in official legal sources, and they go to an expert first. The content of documents is data, not instructions for the agent.

A credit note shows the values before and after and the difference, and posting is done on the difference. Zaksio prepares a KSeF credit note (KOR) compliant with the schema and indicates the VAT settlement period with the legal basis.

The Start plan is free with no time limit and requires no card. To start, you get full access (companies 3 months, accounting firms 6 months), then you stay on the free Start plan or choose a larger one. Prices of the other plans are net, in PLN (excluding 23% VAT).
Add-ons: additional company, additional user, document bundle. After you exceed the monthly AI credits budget, you can pay for the extra usage or move to a higher plan.
Plans differ in limits on companies, users, documents and AI credits. You enable the sales, warehouse, wholesale, cash register, shipping and integrations modules in the business profile. Integrations marked Beta are being developed together with our first customers.

Yes, but to be honest: we support KSeF 2.0 and the FA(3) schema on the Ministry of Finance test environment (receiving and importing purchase invoices, issuing sales invoices and credit notes, UPO). Sending to the production KSeF is being launched in stages, so for now we do not send invoices to production. Details on the KSeF page.
AI prepares proposals, and you or your expert approve them. Amounts, VAT, contributions and taxes are not calculated by a language model but by deterministic, tested code, and the rules have a stated legal basis. The results of tax and HR rules (deadlines, payroll parameters, letter templates) are verified by an accountant or HR specialist. The final decision and responsibility for an approved entry remain with the user. The exact division of responsibility will be set out in the terms and conditions.
Not by default. Every action goes to the approval queue together with its justification. You set the autonomy level (suggestion, draft, automatic up to a limit) separately for each type of action. With Allegro, Amazon PL, Erli, Empik Place, Zalando, Temu, AliExpress, Google Shopping, Facebook and Instagram, WooCommerce, Shopify and PrestaShop, and Vinted via CSV file import. The couriers are InPost, DHL Parcel Polska, DHL Express, GLS and UPS. Yes. Wholesale means price lists, customer groups, quantity thresholds, trade credit limits and payment terms, plus API keys for your systems. A physical shop means a POS till with an offline queue, points of sale and Zaksio Bridge for Posnet, Novitus and Elzab cash registers and ESC/POS and ZPL printers. Zaksio prepares files ready to be filed: JPK_V7, JPK_FA, JPK_MAG, JPK_KR_PD, VAT-UE, OSS, PIT and CIT drafts, and employees' ZUS and PIT files, validated against the official XSD schemas. You or your accounting firm sign and file them, and the results of the rules are verified by an accountant or HR specialist.
Yes. The data belongs to you, and exportability is a product principle even after the subscription expires (the account is then read-only). The owner downloads the full export of the organisation's data (JSON) themselves, in the licence settings; you can export the profit and loss and the balance sheet to CSV, XLSX and PDF, and the application generates JPK_V7 files. We will prepare an export in a format other than JSON on request.
We do not ask for a card, so nothing will be charged automatically, and the account is not blocked. You stay on the free Start plan with no time limit (accounting firm: on the free Accounting firm plan with up to 5 client companies). Your data and documents stay, and you can choose a larger plan when you need it.
Zaksio relieves you of repetitive work, but it is not a tax adviser or an accounting firm. For accounting firms, it is a tool that serves many clients and hands to the expert whatever requires judgement.
