Fixed assets: register and straight-line depreciation
Accounting and finance. Content verified: 12 October 2026.
Adding a fixed asset
Fixed assets, "Add fixed asset" (requires write permission in finance). Fields: Name, Inventory number, Category, Acquisition date, Date put into use, Initial value (PLN), Residual value (0 by default, must be lower than the initial value), Depreciation period in months (1–1200) and, optionally, a linked purchase invoice.
Depreciation
- Depreciation is calculated using the straight-line method, monthly.
- The monthly instalment is the depreciable value (initial minus residual) divided by the number of months, rounded down to the grosz; the last month absorbs the remainder. The first charge applies to the month following the month the asset was put into use.
- "Calculate depreciation" opens a window with the field "Calculate up to month (inclusive)". One accounting entry is created (Dr 401 Depreciation, Cr 071 Accumulated depreciation) dated the last day of the month. Overdue months are caught up in a single entry, and recalculating the same month posts nothing.
- Anna proposes "Calculate depreciation of fixed assets" for the previous month in the Team inbox on her own. The owner can set automatic mode for this action.
Statuses and retirement
An asset has the status "In use", "Fully depreciated" (set automatically after the full charge) or "Retired". On the details page, the "Retire" button asks for a "Retirement date" and an optional note. Retiring stops further depreciation and is irreversible.
