Bulk work for an accounting firm: client assignment, deadlines, bulk operations
Account and licence. Content verified: 12 October 2026.
The firm dashboard (the "Firm dashboard" menu) shows all the companies you have access to and lets you work on them in bulk. The firm's organisation is the one you are switched to: that is where we store the team, client assignments, the checklist and tasks. Client data stays in their own organisations and is read separately for each of them.
Roles in the firm
- Firm owner: everything, including the team, assignments and checklist configuration. By default it is given to the Owner and the Administrator of the accounting firm organisation.
- Lead accountant: deadlines, JPK_V7 and EC Sales List in bulk, reminders, approving proposals from AI assistants, quality check.
- HR specialist: deadlines and combined payroll readiness.
- Assistant: deadlines and reminders about missing documents; no JPK or approvals.
- Quality check: the monthly checklist and combined check runs; no changes to client data.
A role in the firm does not replace permissions in the client's company. A bulk operation in a given company works only if your role in that company allows it (e.g. JPK requires finance permissions). Companies where you lack them end with an error in the report, and the others are processed as normal.
Client assignment
- On the "Clients" tab, use "Assign" next to a company and select the main manager and a deputy (only people from the firm's organisation).
- The "My clients" tab shows the companies you manage, including temporarily (when you are covering for an absent colleague).
- On the "Team" tab, set a person's absence (from, to). During that time the deputy becomes the manager. "Take over clients" permanently moves all of the absent person's clients to the selected person.
- Workload shows the number of clients, cases (for review, awaiting approval, alerts) and deadlines per person.
Combined deadline calendar
The "Deadlines" tab collects the deadlines of all clients: VAT/JPK, ZUS, PIT, CIT, advances and your own. You filter by manager, type, status, preparation status and week. The preparation status (to prepare, prepared, awaiting client approval, filed) is an internal note for the firm and does not close the deadline for the client. Export to CSV (Excel) and ICS (calendar) covers the current filter.
Bulk operations
- Select companies on the "Clients" tab and click "Bulk operations".
- Choose the operation and period: JPK_V7, VAT-UE, reminders about missing items, approving AI assistant proposals, payroll readiness or quality control.
- For JPK and EC Sales List, confirm that you have read the notices. The files are created as drafts in each company, just as with single generation.
- When approving, you will see the proposals grouped by type. Untick those you do not want to approve.
- The task runs in the background. The "Tasks" tab shows progress, the result for each company, and lets you cancel the task or download a ZIP with the files.
Monthly quality check
The "Quality check" tab has a monthly checklist for each client: bank posted, purchases posted, reconciliation, VAT checked, payroll closed. The firm's owner can turn items off and add their own. "Run check" automatically ticks the items that can be verified from the data (bank, purchases, VAT, payroll); the rest are ticked manually. A month is closed when all enabled items are ticked, and this is visible on the dashboard.
