Goods reservations: availability, expiry, mismatches, bundles and MM transfers

What it is for

A reservation blocks goods for a specific order so that the same item is not sold twice. It keeps availability in channels accurate and tells the warehouse worker what to pick.

Where to find it in the app

• Order details ("Zamówienia" (Orders)), "Rezerwacje" (Reservations) card: warehouse, quantity, expiry date and a marker "aktywna" (active), "wydana" (issued) or "zwolniona" (released).
• "To do": the "Reservations expiring" tile and the "Reservation mismatch" alert.
• Sales channels, channel details: the "Settings" tab (expiry and automatic allocation) and "Stock pools" (availability preview).
• Visible with the permission to read orders; operations require the permission to write orders, and channel settings require the permission to write channels.

Availability and no overselling

Product availability is the sellable stock (picking and storage locations, excluding expired batches) minus active reservations. A reservation is created atomically under a lock on the company and product pair, so two simultaneous orders for the last item cannot both get it. The channel sees as much of this availability as its pools allow.

The reservation cycle step by step

1. After confirming the order, click "Allocate by rules" or "Allocate warehouse manually". An "active" reservation is created. With manual allocation, the "Reserve as much as possible" option lets you reserve part of the quantity when items are short.
2. A channel can allocate a warehouse by itself after import: this is turned on by the "Automatically allocate warehouse after import" field.
3. After shipment the reservation becomes "issued".
4. "Release reservations" (order "Confirmed" or "Allocated") returns the goods to the pool and moves the order back to "Confirmed". You must first cancel any open picking tasks.

Reservations for unpaid orders

The reservation of an order awaiting payment expires after the time set in the "Wygasanie rezerwacji nieopłaconych zamówień (minuty)" (Expiry of reservations for unpaid orders (minutes)) field, from 1 to 43200. An empty field means no expiry. After expiry the order gets the reason "Rezerwacja wygasła" (Reservation expired) and goes to decisions. The "Rezerwacje wygasają" (Reservations expiring) tile counts those with less than an hour left. Expiry is run by a scheduler.

Mismatch with physical stock

Reservations do not block manual RW and MM documents. If someone issues goods after a reservation is made, more may be reserved than is in the warehouse, and availability is then capped at zero. The "Rozjazd rezerwacji" (Reservation mismatch) alert lists the item, warehouse, stock and reserved quantity, and leads to the "Sprawdź stany magazynowe" (Check stock levels) and "Zamówienia z rezerwacją" (Orders with a reservation) buttons. Resolve the difference before picking.

Bundles and MM proposals

• A bundle (an item made up of components) is broken down into components for reservation and WZ, and availability is counted in complete sets. On the order the item carries a "zestaw" (bundle) marker.
• When a channel's pool in a warehouse falls below the "Replenishment threshold (items)", the agent Piotr proposes an MM transfer from another warehouse. The proposal waits in "To do" and in the Team inbox; once approved, an MM "in transit" is created and received through the usual flow.
