Channel pools and warehouse allocation rules: how much a channel sees and where an order ships from
Orders and warehouse. Content verified: 12 October 2026.
What it is for
A pool decides how much of the warehouse stock a given sales channel sees. An allocation rule decides which warehouse to fulfil the order from and what to do when goods are short. The two work together but are configured separately.
Where to find it in the app
- Menu "Sales and logistics", "Sales channels". The "Allocation rules" tab is on the main list, and once you open a channel there is a "Stock pools" tab.
- The screen is visible to people with permission to read channels (including the salesperson and accountant). Pools are changed with permission to write channels (administrator, owner). Allocation rules are saved with permission to write orders.
Stock pools step by step
- Open the channel, "Pule stanów" (Stock pools) tab, "Dodaj pulę" (Add pool) button.
- Select "Magazyn" (Warehouse) and "Towar" (Item). An empty field means all warehouses or all items.
- Choose the "Tryb" (Mode): "Wszystko" (Everything; the channel sees all available stock after the buffer is subtracted), "Procent stanu" (Percentage of stock) (0-100) or "Stała liczba" (Fixed number; the channel sees no more than the given quantity).
- Set the "Bufor (sztuki)" (Buffer (pieces)), which is subtracted from the calculated quantity. Optionally enter the "Próg uzupełniania (sztuki)" (Replenishment threshold (pieces)), which requires a warehouse and an item and is used by MM transfer proposals.
- Check "Podgląd: co zobaczy kanał" (Preview: what the channel will see): the table shows "Dostępne" (Available), "Kanał widzi teraz" (Channel sees now) and "Po zapisaniu" (After saving) for the selected item.
With no pool, the channel sees the entire available stock. When several pools match, the most specific one wins: product and warehouse, then product, then warehouse, and finally the general one. The actual sending of stock levels to platforms depends on the connector and is described in the articles about channels.
Allocation rules step by step
- "Sales channels", the "Allocation rules" tab, "Add rule".
- Enter the "Nazwa reguły" (Rule name) and "Priorytet" (Priority; a lower number means higher priority). The "Reguła aktywna" (Rule active) field lets you switch the rule off without deleting it.
- Set the conditions: channels or channel types, "Kraje dostawy" (Delivery countries), "Sposoby dostawy" (Delivery methods), "Wartość brutto od" (Gross value from) and "do" (to), customer groups and "Zamówienie zawiera towar" (Order contains item). Empty conditions mean "any".
- Select warehouses in order of preference. The first is the main one, the rest are backups. The "Pozwól dzielić zamówienie między magazyny" (Allow splitting the order between warehouses) field permits a split.
- In "Przy niedoborze towaru" (When goods are short) choose the behaviour: "Czekaj na komplet" (Wait for the full set; we reserve nothing), "Rezerwuj to, co jest" (Reserve what is available), "Wstrzymaj zamówienie" (Hold the order) or "Zapytaj mnie" (Ask me; the order goes to "Do zrobienia" (To do)).
The first active rule matching the order applies, counting from the lowest priority. If none matches, the order does not go "somewhere": it gets the reason "No warehouse allocation rule" and waits in "To do". Bundles are allocated in whole units. The rule list warns "Some rules will never run" when an earlier, broader rule overshadows them.
Rule preview in the app
The "Preview: what will happen to a sample order" card lets you enter a channel, country, delivery method, value, group and product, and then shows the matching rule or "No matching rule" and the product's availability. The preview is indicative: it reproduces the rule in the browser, while the actual allocation is decided by the allocation engine when the order is placed.
