Recurring invoices: templates, schedule and approval

Creating a template

Recurring invoices, "Nowy szablon" (New template) button (permission to write sales). Fields: Template name, Counterparty, Frequency ("Co miesiąc" (Monthly), "Co kwartał" (Quarterly) or "Co rok" (Yearly)), Day of month (1–28, so the date exists in every month), Cycle start, Cycle end (empty = no end), Payment term in days (0–365, default 14), Payment method, Bank account, Notes on the invoice and items (1–100). The "Najbliższe terminy wystawienia" (Upcoming issue dates) preview shows when the template will run.

What happens on the cycle day

1. The AI team checks templates every hour. A template that is due gets a Marek action "Issue recurring invoice" in the Team inbox; the list shows a "Due" badge.
2. After "Zatwierdź" (Approve) the invoice is created and issued immediately: the issue and sale dates are the cycle day, and the payment due date is counted from it.
3. The schedule moves on to the next cycle. After issuing by the normal route, Anna's "Wyślij do KSeF" (Send to KSeF) action is created (and possibly a WZ goods issue).

Overdue cycles (e.g. after pausing a template) are proposed one by one, starting with the earliest, and issued with the cycle date, not today's date. The same date is never issued twice.

Automatic mode

The owner can go to Settings, "AI team", and switch "Issuing recurring invoices" to "Run automatically". The invoice is then issued without you clicking anything, so only enable this for templates you fully trust.

Pausing, resuming, deleting

• States: "Aktywny" (Active), "Wstrzymany" (Paused) and "Zakończony" (Ended) (after the last cycle, when the next date falls after the end date). An ended template cannot be resumed.
• A paused template is not proposed; once resumed with an overdue date, it will get a proposal again.
• Deletion is permanent, but issued invoices remain.
• A change of day or frequency applies from the next cycle; the nearest due date is already set. The counterparty and start date cannot be changed.
