Firm rules for clients: which Zaksio functions your client has

An accounting firm has the final say over the clients it looks after. For each client company you decide which Zaksio functions it has available: you can turn a function off or require it. A self-managed client (without a firm) controls the functions themselves, and your clients see next to locked functions that the firm set them.

Where to set it

1. In the "AI team" menu go to "Client rules" (visible to the firm's owner, who manages the firm).
2. Choose a client. You will see its companies and the list of functions in the Sales, Purchases and Finance groups.
3. For each function choose: "Client decides" (default), "Turned off by the firm" or "Required by the firm".
4. Click "Save rules". Only the changed items are saved, the rest stays as it was.

Zaksio handles dependencies

• Turning a function off also turns off those that need it (e.g. turning off Receivables turns off Debt collection, reminders and the Liquidity forecast). You see this before saving.
• Requiring a function also turns on those it needs.
• Contradictory rules (e.g. a required Liquidity forecast with Receivables turned off) will be shown by the system and cannot be saved.
• Functions required by law (e.g. the VAT register) are always on and are not subject to the rules.

What the client sees

• A function that is turned off disappears from their menu, the command palette and voice commands, and its automations are paused. The data stays.
• In Settings, in the "Functions" tab, switches locked by the firm are inactive and labelled "Set by the firm" with the firm's name.
• The client cannot change them. They agree changes with the firm outside Zaksio, and the "Write to Zaksio" button is for matters such as ending the cooperation with the firm.
• The client's AI team knows about the locks: it does not promise to change them and refers to the firm.

When a client leaves the firm

Locks do not disappear on their own. The client then contacts Zaksio, and our staff remove the firm's locks with the reason recorded in the log. The client keeps their data and chosen functions, losing nothing.
