KSeF rollout checklist for companies

1. Preparation

Company data is complete: tax ID, name and address match the register.
I checked in the Ministry of Finance announcements when KSeF becomes mandatory for my company (deadlines depend on company size).
I named a person responsible for KSeF and a stand-in for holidays.
Contractors have correct tax IDs and e-mail addresses, because invoice correctness depends on them.

I generated my own token in the Ministry of Finance KSeF application for the company tax ID, with permissions to issue and read invoices.
I chose the environment (test, DEMO or production) and started with the test one.
The token is stored only in a system that encrypts it, not in a spreadsheet, in e-mail or on a messenger.
I know how to revoke a token and generate a new one when the responsible person changes.

The invoice is issued in the current FA(3) schema and checked against the official schema before sending.
For every type of sale (domestic, EU, export, reverse charge) I know which VAT scenario I use and have confirmed it with my accountant.
Foreign-currency invoices carry the NBP rate from the right day and the tax is converted to zloty.
After sending, I see the KSeF number and the official acknowledgement of receipt (UPO) with the invoice.
I know what to do when an invoice is rejected: the message says what to fix, and the corrected invoice is sent again.

I know the offline, unavailability and failure modes and the deadline for resending invoices (confirmed in the Ministry of Finance materials).
The invoice printout has a QR code where it is required.
I issue corrections with the KSeF number of the original invoice, and for downward corrections I check the conditions for reducing the VAT base.

I download purchase invoices from KSeF and post them with human control instead of retyping them.
I have reminders about invoice resend deadlines and about token or certificate expiry.
Only people who need it have access to KSeF, and access changes leave a trail.
Once a month I compare the invoices in KSeF with the ledger and the VAT return.
