Company functions: turning on and off what you do not use

Account and licence. Content verified: 3 November 2026.

You can tailor Zaksio to your company: you turn off what you do not use, and nothing distracts you. This applies to, for example, debt collection (if you chase payments yourself), recurring invoices or preparing JPK (if your accountant does it for you outside Zaksio). A turned-off function does not delete data and comes back with one click.

Where to set it

  1. Go to Settings, then Business profile, and open the "Functions" tab.
  2. Open a section (Sales, Purchases or Finance) with the "Adjust" button and flip the switch next to a function. The switch on the section itself turns all of its functions on or off at once.
  3. Check "Your menu after saving" (crossed-out items will disappear) and click "Save functions".

Dependencies: Zaksio switches the rest for you

Some functions need others: debt collection needs receivables, and the liquidity forecast needs receivables and payables. When you turn a function off, Zaksio also turns off everything that does not work without it, and tells you so plainly ("I also turned off: …"). When you turn a function on, it turns on the ones it needs. Functions that depend on it stay off until you turn them on yourself. You can undo any change with "Undo" or "Discard changes" before you save it.

What exactly happens when you turn a function off

  • the screen disappears from the menu, the command palette and voice commands, and if someone opens it from a bookmark, they see a message with a button to turn it on,
  • the function's automations are paused: the AI team does not prepare payment reminders and does not propose issuing recurring invoices, calculating depreciation or preparing JPK,
  • the system also rejects attempts to use the function from other places (a "function turned off" response), so nothing happens silently,
  • your data stays: invoices, templates, history and settings are not deleted and come back when you turn the function on again.

Paths: who carries out a task

For some features you choose not only “on” or “off” but also the way it is carried out. Today this applies to JPK, debt collection and purchase invoice booking. JPK: “I file it myself” (Zaksio prepares the file and you file it) or “My accountant files it” (Zaksio sends the file to your accountant, including one outside Zaksio, watches the deadline and reminds about the confirmation). Debt collection: “The team sends reminders itself” (the previous behaviour), “The team prepares, I approve” (every reminder and demand always waits for your decision, even in automatic mode) or “Someone outside Zaksio collects” (an agency or law firm: Zaksio does not contact debtors and, when you click “Hand over to collection”, sends the agency the full case file with the invoice as a PDF and records to whom and when; the handover can be undone with a reason). Booking invoices from suppliers: “The team proposes, I approve” (the default: Zaksio prepares the booking and you approve it with a click), “The team books by itself when it is sure” (Zaksio books by itself the invoices it recognises with high confidence and leaves the rest to you) or “My accountant books them (outside Zaksio)” (Zaksio does not book, it only sends your accountant an e-mail with the invoice data and the invoice itself once you approve; you can also turn on “Hand over new invoices automatically”, and then new invoices go to your accountant without asking you each time, and you can turn the switch off at any time). A path with a contact requires a valid e-mail address. You can change it at any time and the AI team respects your choice.

HR and payroll: who calculates payroll

HR and payroll is a separate function (the “HR and payroll” section; you see it when “HR and payroll” is turned on in your business features). You choose who calculates payroll. “I run HR and payroll in Zaksio”: Zaksio calculates payroll runs and you approve them (the default). “Payroll is run by an office or accountant outside Zaksio”: you enter your accountant's e-mail address, she calculates payroll, and Zaksio neither calculates it nor posts anything from wages. Employee data (contracts, leave, sick leave, overtime, bonuses) stays in Zaksio, and once a month you send it to the accountant with the “Hand over data for …” button in HR and payroll, Payroll runs. You can change your mind at any time and nothing is deleted. Details are in the article on HR and payroll.

When some functions were set by your accounting firm

If an accounting firm looks after you, it can set the state of selected functions (turn them off or require them). Such switches are inactive and labelled "Set by the firm" with the firm's name, and at the top of the screen there is a notice with a "Write to Zaksio" button. You agree any changes with the firm; if you end your cooperation with it, write to us and Zaksio staff will remove the locks.

Mandatory functions

The VAT register has a locked switch because it is a legal requirement for an active VAT taxpayer. If your accountant prepares your returns and JPK outside Zaksio, turn off only "JPK_V7: preparation and submission": the register is still kept, and Zaksio will not propose JPK or show the VAT / JPK screen.

Voice and the AI team know about the changes

  • The AI team knows the list of turned-off functions: it does not propose them or point to their screens, and when you ask, it will tell you they are turned off and how to turn them on.
  • Voice: "open functions" opens the Functions screen, and asking for a turned-off function (e.g. "show debt collection") ends with a message that it is turned off, and a move to the Functions screen. The command "turn off debt collection" also opens this screen: we do not switch anything by voice, so that nothing is changed by mistake.
