Receiving new goods into the warehouse: catalogue, PZ document or purchase invoice
Orders and warehouse. Content verified: 25 October 2026.
The fastest way is from a photo: upload the delivery document and the team will match the goods to the catalogue and prepare the receipt into the warehouse itself. Manually you enter goods in two steps: first the product in the catalogue, then the receipt into the warehouse.
Fastest: a photo of the delivery document
- In the team chat click the paperclip and choose a photo or PDF of the delivery document (WZ, invoice, waybill). You can do the same in “Warehouse” with the “Receive a delivery from a photo” button, or say “receive a delivery” by voice.
- Piotr will read the lines from the document. Goods you already have in the catalogue (recognised by EAN code, SKU or name) increase the stock of existing items. Goods you do not have are added to the catalogue from the data on the document.
- The proposal waits in the team inbox. Compare the lines with the document and click “Approve”: a PZ document is created and the stock level goes up.
Step 1. The product in the catalogue
- Go to “Product catalogue” (the Warehouse group in the menu) and click “New product”.
- Enter the SKU, name, unit of measure and VAT rate. Optionally add the net price, EAN/GTIN code, tracking (lots or serial numbers) and tick “Has an expiry date”.
- Click “Add product”. You can add many goods at once with the “Import from CSV” button.
Step 2, option A: receiving from a purchase invoice (shortest)
- Load the supplier's invoice in “Purchase invoices” (from a scan, an email or KSeF) and post it.
- On the invoice details the “Receipt into the warehouse” card shows a proposed receipt from the goods lines.
- Choose the “Warehouse” (the main warehouse by default) and click “Receive into the warehouse”. Zaksio will create a PZ document.
If any invoice line is not linked to a product in the catalogue, receiving from the invoice is blocked. Link the lines to the catalogue or receive the goods manually with a PZ document.
Step 2, option B: a manual PZ document
- Go to “Warehouse”, the “Documents” tab, and click “New document”.
- As the “Document type” choose “PZ, external receipt”, set the date and the warehouse. You can optionally specify the supplier.
- In the line choose “Product”, enter “Quantity” and “Net purchase price (PLN)” and indicate “To (location)”. For goods with lots or an expiry date give the lot number and the “Expiry date”.
- Add further goods with the “Add line” button.
- Click “Save draft” (you can still correct it) or go straight to “Save and approve”.
When the stock level goes up
The stock level, stock valuation and the ledger (account 330) change only after the PZ document is approved. An approved document can no longer be edited or deleted; you correct a mistake with a reversal.
Goods returned by a customer
A customer return does not go through PZ. You receive it on the “Returns” screen and the system creates a PW document itself.
